Visa Requirements

Germany is part of the borderless region known as the Schengen area and visa requirements vary by nationality. For most nationalities a visa is not needed for stays of up to three months. A passport validity of at least three months beyond the period of stay is mandatory and you are advised to retain evidence of your return travel. Please check regulations with your closest German embassy well ahead before travelling. To find out more about country-specific visa requirements, visit The German Ministry of Foreign Affairs.

ICEF offers visa support which provides you with a letter of invitation for the duration of the event and company documentation required for your visa appointment. Please contact visasupport@icef.com if you wish to request this service.

Discounted German Rail Tickets

Deutsche Bahn is pleased to offer discounted event tickets if you travel to ICEF Berlin by train. The price for a one-way ticket from any German railway station to Berlin is EUR 51,90 valid for the selected train and EUR 72,90 as a fully flexible ticket.

Tickets are subject to availability and need to be booked at least one day prior to your departure date. Please note that the event ticket is only valid for the connection you have selected and booked in advance.

Arrival in Berlin

Berlin Brandenburg Airport (BER)

The airport is situated 25 km from the city centre, which can be reached in approximately 45 minutes by taxi or public transport.

Public Transport: Regional trains (RE7 and RE14) regularly travel between Berlin Zoologischer Garten and Flughafen BER – Terminal 1-2 station; the journey takes 40 minutes. City train (S-Bahn) S9 leaves every 20 minutes from the Terminal 1-2 and Terminal 5 stations. The journey takes around one hour. Tickets cost € 3,80.

Taxis: A taxi ride from Berlin Brandenburg Airport to the Hotel InterContinental will take approximately 45 minutes and the fare is around € 50 – 65. Passengers arriving at Terminals 1 and 2 can use the north and south taxi ranks in front of Terminal 1 on Level E0.

Uber is also available at BER Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.

Berlin Central Station (Berlin Hbf):
Berlin´s main railway station is located in the city centre.

Public Transport: City trains (S-Bahn) S3, S5, S7 and S9 connect the main railway station to the stop Zoologischer Garten in only 6 minutes. From there you can either walk (approx. 10 minutes) or take bus service 200, in the direction of Michelangelo Strasse. After a few minutes the bus stops directly in front of the Hotel InterContinental, at Budapester Strasse. Tickets cost € 3 for zone AB.

Taxis: A taxi ride will take approximately 10 minutes and will cost around € 10-13.

Forwarding of Promotional Material

Your materials for ICEF Berlin may arrive in Berlin from Tuesday, October 31, 2023 onwards (but not before) allowing you sufficient time to check if your packages have been delivered correctly. Please contact a courier of your choice. It is very important that you include a proforma invoice. Inspections of deliveries with incomplete documents can take up to four weeks.

Package Preparation
When calculating the amount of promotional materials to send to Berlin please bear in mind that you will have a maximum of 38 pre-scheduled meetings. Shipping Label is available here.

Sustainable Alternatives
As we recommend to reduce the use of paper, you can also upload up to five documents (max size of 5 MB each), three videos (YouTube, Dailymotion and Vimeo links are supported) and up to eight photos (max size of 5 MB each) into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event.

In addition, if you’d like to make an impression at your dedicated table here are some suggestions to help you stand out:

Please be aware that although Wi-Fi will be provided, we recommend downloading your event materials, presentations and videos directly to your device for your meetings. This helps reduce GHG emissions and ensures the network traffic is not overloaded.

Scheduling Meetings*

Scheduling meetings prior to the event

Approximately six weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests.

Meetings will take place at your designated meeting table, indicated on your schedule. If you are using Marcom eSchedule PRO for the first time, we recommend that you review the following information: Getting Started |  Scheduling Meetings – Useful Hints & Tips | Video tutorials.

Scheduling meetings during the event

To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

We are pleased to introduce the 2nd edition of ICEF Digital (Nov 03, 2023) – Friday prior to ICEF Berlin – a one-day conference updating international education professionals on the latest technological developments

Speakers include Salesforce’s Chief AI Architect (EMEA), Duolingo’s Head of Artificial Intelligence, and heads of marketing of both TikTok and SNAP.Inc.

Renowned scientists and professors will update you on the basics of Artificial Intelligence, digital media or even blockchain technology.

Meeting Tables and Exhibition Booths

Meeting tables will be accessible as of 08:00 am on Monday, November 6th.

Each meeting table (120cm x 80cm) will be covered with a table cloth and will have access to an electricity outlet.

Table signage with name and logo of each institution will be provided.

Exhibition Booths will be accessible as of 10:00 am on Sunday, November 5th.

All booths will be furnished with standard equipment according to their size.

On-site Check-in

You will be able to collect your badge and welcome bag from the ICEF registration & hospitality desk – sponsored by GoBritanya – located in the main hotel lobby on Sunday, November 5th, from 10:00 to 21:00.

Participants arriving after the above stated period can register on Monday, November 6th, from 08:00 onwards.

As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

Refreshments and Lunches

On Sunday, November 05, a Networking Lunch – sponsored by Turismo y PlanificaciĂłn Costa del Sol, SLU – will be served between 13:00 and 14:00.

On Sunday, November 05, a First-timer Lunch – sponsored by MetaApply – will be served between 13:00 and 14:00.

On November 06 and November 07, a light continental breakfast will be served between 8:00 and 9:00. Snacks and refreshments are available on both days from 9:30 to 11:30 and from 15:30 to 17:30. Lunch will be provided from 12:30 to 14:30 in a number of locations throughout the hotel.

Please note: To avoid lines at the food and beverage stations, coffee breaks and lunch times have been extended. We recommend to block at least one break slot in the morning and one in the afternoon and to allow a minimum of two time slots for your lunch break.
