Hotel Accommodation*

Your accommodation at ICEF Berlin 2023 will be sponsored by ICEF for three nights from Sunday afternoon, November 05, 2023 until Wednesday morning, November 08, 2023. Please note that breakfast is not included.

You have the option to request accommodation at the InterContinental Hotel from November 05 to November 08, 2023, for a supplementary charge of Euro 100 per room per night. If you wish to stay at the InterContinental Hotel for a small additional fee, kindly complete the Upgrade Form and email it to Renata Erdem.

If you prefer not to stay at the InterContinental Hotel, we will arrange accommodation for you in one of our partner hotels.

A formal hotel booking confirmation will be sent to you approximately four weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated. Please be aware that any additional costs incurred for services such as telephone use, minibar, early check-in/late check-out, extra nights outside the event period, parking, laundry, room service, etc., will be at your own expense. The hotel will therefore ask you for your credit card details upon check-in.

Should you need to leave the event in Berlin earlier than November 08 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.

Booking additional nights is optional and will be at your own expense. We will send you a booking form or link together with your hotel confirmation should you wish to extend your stay in Berlin.

Visa Requirements

Germany is part of the borderless region known as the Schengen area and visa requirements vary by nationality. A passport validity of at least three months beyond the period of stay is mandatory and you are advised to retain evidence of your return travel. Discounted German Rail Tickets

Deutsche Bahn is pleased to offer discounted event tickets if you travel to ICEF Berlin by train. The price for a one-way ticket from any German railway station to Berlin is EUR 51,90 valid for the selected train and EUR 72,90 as a fully flexible ticket.

Tickets are subject to availability and need to be booked at least one day prior to your departure date. Please note that the event ticket is only valid for the connection you have selected and booked in advance.

Arrival in Berlin

Berlin Brandenburg Airport (BER)

The airport is situated 25 km from the city centre, which can be reached in approximately 45 minutes by taxi or public transport.

Public Transport: Regional trains (RE7 and RE14) regularly travel between Berlin Zoologischer Garten and Flughafen BER – Terminal 1-2 station; the journey takes 40 minutes. City train (S-Bahn) S9 leaves every 20 minutes from the Terminal 1-2 and Terminal 5 stations. The journey takes around one hour. Tickets cost € 3,80.

Taxis: A taxi ride from Berlin Brandenburg Airport to the Hotel InterContinental will take approximately 45 minutes and the fare is around € 50 – 65. Passengers arriving at Terminals 1 and 2 can use the north and south taxi ranks in front of Terminal 1 on Level E0.
Uber is also available at BER Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.

Berlin Central Station (Berlin Hbf): Berlin´s main railway station is located in the city centre.

Public Transport: City trains (S-Bahn) S3, S5, S7 and S9 connect the main railway station to the stop Zoologischer Garten in only 6 minutes. From there you can either walk (approx. 10 minutes) or take bus service 200, in the direction of Michelangelo Strasse. After a few minutes the bus stops directly in front of the Hotel InterContinental, at Budapester Strasse. Tickets cost € 3 for zone AB.

Taxis: A taxi ride will take approximately 10 minutes and will cost around € 10-13.

Scheduling Meetings

Scheduling meetings prior to the event

Approximately six weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

Scheduling meetings during the event

To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

Onsite Check-in*

You will be able to collect your badge and welcome bag from the ICEF hospitality desk on Sunday, November 05, from 10:00 to 21:00.

Participants arriving after the above stated period can register on Monday, November 06, from 08:00 onwards.

As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

Refreshments and Lunches

On Sunday, November 05, a Networking lunch – sponsored by Turismo y PlanificaciĂłn Costa del Sol, SLU – will be served between 13:00 and 14:00.

On Sunday, November 05, a First-timer Lunch – sponsored by MetaApply – will be served between 13:00 and 14:00.

On November 06 and November 07, a light continental breakfast will be served between 8:00 and 9:00. Snacks and refreshments are available on both days from 9:30 to 11:30 and from 15:30 to 17:30. Refreshments are sponsored by MLA Move Language Ahead

Lunch will be provided from 12:30 to 14:30 in a number of locations throughout the hotel.

Please note: To avoid lines at the food and beverage stations, coffee breaks and lunch times have been extended. We recommend to block at least one break slot in the morning and one in the afternoon and to allow a minimum of two time slots for your lunch break.
