Your accommodation at ICEF Secondary Education 2023 will be sponsored by ICEF for 3 nights from Sunday afternoon, March 19, 2023 until Wednesday morning, March 22, 2023 at the Hilton San Francisco Union Square hotel. Your presence at ICEF Secondary Education will be expected from 09:00 to 18:30 on March 20-21.
A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated. All additional costs for the use of telephone, minibar, early check-in/late check-out, extra nights outside the event period, parking, laundry, room service, etc. will be at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
Should you need to leave the event in San Francisco earlier than March 21 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
For booking additional nights either prior to or after the event, please use the Hilton San Francisco Union Square booking system. Additional nights are available at the ICEF preferential rate of USD 289 (+ local tax and fees) for a single and double room per night. The rate does not include breakfast and is subject to availability.
Visa Requirements
Visas are required for all foreigners entering the United States unless they are from a country that participates in the Visa Waiver Program.
Please check travel and visa regulations with your respective embassy well ahead before travelling. A list of the United States consulates and embassies can be found here.
For the purposes of ICEF San Francisco 2023 you will need to apply for a B-1 visa, a non-immigrant visa, designed for persons who want to enter the United States on a temporary basis for business purposes. A passport validity of at least three months beyond the period of stay is mandatory and you are advised to retain evidence of your return travel.
ICEF offers visa support which provides you with a letter of invitation for the duration of the event and company documentation required for your visa appointment. Please contact Karolina Guc if you wish to request this service.

Arrival in San Francisco
San Francisco International Airport (SFO)
San Francisco International Airport (SFO) is the airport of choice to and from almost 100 destinations worldwide on the leading international, domestic and low-cost carriers.
The drive from the airport to the Hilton San Francisco Union Square hotel will take approximately 30 minutes depending on traffic. You can find more information about the airport here.

Taxis If you require a taxi, simply proceed to the designated taxi pick-up points located outside the arrival hall. The taxi fare from San Francisco International Airport to the venue will be around USD 80 – 100.
Uber Uber is also available at San Francisco Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.

Scheduling Meetings
Scheduling meetings prior to the event
Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend scheduling a minimum of 25 meetings prior to the event.

This event will be conducted as a hybrid event. Those with remote schedules can find other remote participants to meet with by looking for the orange R icon on the participant list and on your MySchedule page. For onsite participants, your meetings will take place at the meeting or display tables indicated on your schedule.
Virtual meetings are held online using Marcom eSchedule PRO’s integrated Zoom function. Simply click on the camera icon on your schedule to start a virtual meeting.
If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.
Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.
Please note that you will not be provided with a printed paper copy of your schedule at the event.
Seminars

You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Secondary Education.
Seminars are available either live during the event or on-demand through our online platform for up to four weeks after. Programme details can be found under the seminar tab on your schedule.
On-site Check-in
You will be able to collect your badge and welcome bag from the ICEF registration desk located in the West Lounge on Sunday, March 19th, from 13:00 to 19:00.
Participants arriving after the above stated period can register in the West Lounge on Monday, March 20th, from 08:00 onwards.
As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

COVID-19 Safety
The venue will adhere to strict hygiene regulations. It is no longer mandatory to wear a facemask, but whenever possible please respect an appropriate distance to other participants.
We are working closely with the venue and local authorities to ensure that we can deliver a safe event. As requirements might change we will update you regularly with the latest information.
Refreshments and Lunches
Snacks and refreshments will be served on March 20th and 21st at 08:00, 11:00 as well as 16:00 hours. Lunch will be provided from 13:00 to 14:00 in the Golden Gate Ballroom.

Welcome Reception
Sunday, March 19th, 19:00 to 21:00 in the East Lounge sponsored by Amerigo Education.
Dinner Reception
Monday, March 20th, 20:00 to 23:00 in the Imperial Ballroom.
The dress code for both receptions is smart casual. Please note that participants not wearing their event badge will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.
