We are pleased to offer you the following preferential rates at the Kuntai Hotel, Beijing Wangjing, where the event will be taking place:

Above rates are per room, per night, including taxes and service charges.
Rates are valid for the period from October 13 to October 21, 2023 and are subject to room availability. For bookings outside this period, regular room prices become applicable.

Amenities
The luxurious 5 star Kuntai Hotel located at Wangjing Hi-tech Business Incubating Park, is a landmark of Wangjing Area. It is just a 10-minute ride from the popular 798 Art Zone. Guests can indulge in spa services, an indoor pool, and a health club as well as three restaurants and a gift shop amongst other highlights at this luxurious hotel.
Visa Requirements
Visas are required for all foreigners entering mainland China except for those holding passports from Brunei, Japan and Singapore, who enjoy visa-free access to China (restricted to a maximum stay of 15 days).
Please note that the airport authorities do not issue visas and that you will have to apply for a visa in advance. The best time to apply for a China visa is one or two months before your departure date. Usually, a China visa is valid for only three months from the date of issue, which indicates that the earliest time you can apply is three months before your departure.
Please contact the Chinese consulate / embassy closest to you and enquire about the visa regulations for your specific country.

Please note that the application for a business visa is time consuming and can take up to four weeks.
Arrival in Beijing
Beijing Capital Airport (PEK)
Beijing Capital Airport (PEK) is situated approximately 20 km from the event venue, which can be reached in 25 minutes. You can find more information about the airport here.

Airport Transfer
If you are staying at the Kuntai Hotel, Beijing Wangjing an airport pickup can be arranged from EUR 100 per car / per way (max.3 people) depending on the Airport. To book the airport transfer please use this booking form.
Taxis
The taxi fare is around RMB 120. Most taxi drivers will not speak English and we would recommend to show your driver the address of your hotel in Chinese. Please use this document if you are travelling to and from the Kuntai Hotel, Beijing Wangjing.
Public Transport
Kuntai Hotel, Beijing Wangjing is less than a 6 minute walk from Subway Wangjingdong Station Exit B and can be accessed by Subway line 15.

Forwarding of Promotional Material
Your materials for ICEF China can arrive from Thursday, October 12th, 2023, 2023 in Beijing (but not before) allowing you sufficient time to check if your packages have been delivered correctly. Please contact a courier of your choice.
Package Preparation
When calculating the amount of promotional materials to send to Beijing, please bear in mind that you will have a maximum of 38 pre-scheduled meetings. Please refer to the Shipping Instructions & Delivery Label for detailed information, customs requirements and a delivery label template.
Sustainable alternatives
As we recommend to reduce the use of paper, you can also upload up to five documents, three videos and up to eight photos into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event.
In addition, if you’d like to make an impression at your dedicated table here are some suggestions to help you stand out:
- Branded table cloth
- Reusable table top roller banner
- QR code to your website/brochures/offers
- Sustainable giveaways for your potential partners
- No need for business cards – delegates can scan your v-card on the reverse side of your badge
- Laptops – power is provided at each table, take your partners through your presentations and videos
Please also consider using local suppliers to cut down international shipping.
Please note that only service providers with a display table may bring a pull up banner (max 1.5m wide). We are unable to facilitate any form of pull up banner in the meeting hall space. All branding must be kept to table top items only.
Please be aware that although Wi-Fi will be provided, due to the nature of the event location you may experience connection issues to specific sites. We recommend downloading your event materials, presentations and videos directly to your device for your meetings.

Scheduling Meetings
Scheduling meetings prior to the event
Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

Meetings will take place at your designated meeting table, indicated on your schedule. If you are using Marcom eSchedule PRO for the first time, we recommend that you review the following information: Getting Started | Scheduling Meetings – Useful Hints & Tips | Video tutorials.
Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.
Seminars

You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Beijing.
Seminars are available either live during the event or on-demand through our online platform for up to four weeks after. Programme details can be found under the seminar tab on your schedule or on the website.
Meeting and Display Tables
Meeting tables will be accessible as of 08:00 am on Tuesday, 17th October
Each meeting table (180 x 90cm) will be covered with a table cloth and will have access to an electricity outlet.
Display tables for Service Providers will be accessible as of 08:00 am on Tuesday, 17th October
Each meeting table (160 x 60cm) will be covered with a table cloth and will have access to an electricity outlet. If you wish to use a literature display rack, you must inform us in advance by emailing us here.
Table signage with name and logo of each institution will be provided.
On-site Check-in
You will be able to collect your badge and welcome bag from the ICEF registration desk located at the Kuntai Ballroom Foyer (2nd Floor) on Monday, October 16, from 13:00 to 19:00. Participants arriving after the above stated period can register on Tuesday, October 17, from 08:00 onwards.
As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.
COVID-19 Safety
The venue will adhere to strict hygiene regulations. Wearing face masks is required in some public places. Whenever possible please respect an appropriate distance to other participants.
Some countries are still required to show a negative Covid test when travelling to China. Before travelling check with your embassy what are your entry requirements.
Refreshments and Lunches
Snacks and refreshments will be served on October 17th and 18th at 08:00, 11:00 as well as 16:00 hours. Lunch will be provided from 13:00 to 14:00 in the Joy Cafe (1st Floor).

Welcome Reception
Monday, October 16th, 19:00 to 21:00 in Kuntai Ballroom C sponsored by CMB Regional Centers.
Dinner Reception
Tuesday, October 17, 20:00 to 23:00 in Kuntai Ballroom C.
The dress code for both receptions is smart casual. Please note that participants not wearing their event badge will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.

- Plug type: The outlet can accept the Type A, Type I and Type C plugs. Please bring your own adaptors if necessary as we cannot provide them onsite.
