ICEF Moscow is the region’s most renowned international education networking event. Providing educators and service providers with the opportunity to meet the best agents from Russia, Eastern Europe, Central Asia and the Caucasus, this event is a must attend for institutions seeking to increase international student enrolments from this important market.

In 2018 ICEF Moscow welcomed a total of 345 participants from 29 countries. During the event, educators and service providers conducted one-to-one business appointments with representatives of 150 education agencies.

Acknowledging the number of institutions who regularly participate in this event, ICEF screens and qualifies new agencies each year.

Before agents can attend ICEF events they must pass a rigorous selection and screening process. Known as the most stringent quality test in the industry, agents must provide current, verifiable references and prove an active interest in partnering with international educators and service providers.

In addition to scheduled meetings and networking events, participants may also attend seminars covering a wide range of topics, including visa processing, student mobility trends and specific market intelligence.

FAM Tours & Receptions

Agent familiarisation (FAM) tours and receptions are excellent ways for you to gain exposure and promote your institution and / or association to event registered agents.

FAM tours allow you to take advantage of a large number of agents attending the event and attract them to visit your institution, campus and region. Effective FAM tours enable agents to increase their product knowledge and bring back first-hand experience to potential students.


FAM Tour guidelines:

  • FAM tour organisers may determine all logistics, conditions and costs associated with their tour, including which event participants are accepted to join, and which are not.
  • ICEF will not get involved in the organisation of FAM tours, but simply ensure relevancy for event participants as well as an equal representation of tours to all delegates.
  • All delegates interested in attending FAM tours will be asked to make direct contact with the tour organiser. Organisers are responsible for confirming or declining acceptance directly with participants.
  • FAM tour organisers wishing to promote their tour through ICEF are required to submit a proposal. All proposals are subject to approval by ICEF.
  • FAM tours may only be offered outside of event related activities and times.
  • Only organisations attending the event may meet and host other event participants. We do not wish to encourage non-registered institutions to access and benefit from meeting potential business partners that event registered organisations have paid to meet.

Reception guidelines:

Receptions allow you to host agents in a memorable way while reinforcing your brand. Inviting the agents that you wish to target gives you the chance to make meaningful and focused connections in a relaxed and fun environment.

  • Reception organisers may determine all logistics, conditions and costs associated with their event, including which event participants and other business partners are accepted to join, and which are not.
  • ICEF will not get involved in the organisation of receptions, but simply ensure relevancy for event participants as well as an equal representation of receptions to all delegates.
  • All event participants interested in attending a reception will be asked to make direct contact with the reception organiser. Organisers are responsible for confirming or declining acceptance directly with participants.
  • Reception organisers wishing to promote their event through ICEF are requested to provide information as outlined on the ICEF website.
  • Receptions may only be offered outside of event related activities and times.
  • Only organisations attending the event may meet and host other event participants. We do not wish to encourage non-registered institutions to access and benefit from meeting potential business partners that event registered organisations have paid to meet.

Promotion

Once your proposal has been accepted by ICEF, we will promote your event to assist you in attracting the quantity and variety of agents desired.

Your FAM tour or reception will be listed in this section of the website along with your contact details, hyperlinks and / or promotional materials. ICEF will also promote your event to all attending agents once their registration has been approved, as well as in numerous follow-up communications prior to the event.

Please provide ICEF with a website hyperlink and / or a brochure / flyer / invitation (pdf format) containing the following information:

  • Name of activity
  • Host name and contact details
  • Details of the event including program, location, date and time, inclusions such as food and transportation, invited target groups / individuals and maximum number of participants

Please note that you will be required to hold a valid visa to enter Russia. Airport authorities do not issue visas and you will therefore have to apply for your visa in advance.

For further information and a list of diplomatic and consular missions of Russia please refer to the website of the Ministry of Foreign Affairs of Russia.

Please allow for sufficient time to apply for your visa. Russia has introduced biometric data collection in some countries and therefore requires all visa applicants to schedule a personal visit at one of their visa centres. For further information and visa requirements please contact your closest Russian embassy or consulate.

Tourist Visa

If you are staying at the Ritz-Carlton Hotel Moscow and wish to apply for a tourist visa, please complete the Tourist Visa Support Form and return it by fax to the Ritz-Carlton Hotel Moscow at +7 495 642 7121 with a colour copy of your passport and a confirmation of your Ritz-Carlton Hotel Reservation as soon as possible. The Ritz-Carlton will endeavour to issue a visa support voucher within 24 hours that you can present to the Russian embassy/consulate to support your visa application. This service is free of charge. However, please note that the hotel will only be able to issue a voucher for the period of your stay with the Ritz-Carlton.

Business Visa

If you are staying at the Ritz-Carlton Hotel Moscow and prefer a business visa or if you need to extend the dates of your stay in Russia, please complete the Business Visa Support Form from the company Western Gate and return it by email to westerngate.agency@gmail.com as soon as possible. After having received your completed application form together with a colour copy of your passport, Western Gate will be able to apply for your visa support at the Foreign Ministry in Russia who in return will send your official invitation by express mail. Once Western Gate has returned your invitation, you will then be able to apply for your visa following the guidelines of the Russian embassy or consulate where your application will be presented.

Please take into consideration that the visa process might take up to six weeks. Your passport should be valid at least six months after departure from Russia. We recommend that you send your details to Western Gate as soon as possible to avoid unforeseen delays.

Please note that the issue of visa support documents does not mean a visa will automatically be granted. This decision is taken by the Russian Embassy or Consulate where your application is presented.

Alternatively you might wish to consider using an agency in your own country that specialises in visa services and who will be able to assist you in obtaining the necessary invitation letters and handle the entire visa application process for you.
