    Hotel Accommodation

    Your accommodation at ICEF North America 2024 will be sponsored by ICEF for three nights from Wednesday afternoon, May 1, 2024 until Saturday morning, May 4, 2023 at one of our partner hotels. Your presence at ICEF North America will be expected throughout the duration of the event.
    A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated.

    Terms and Conditions

    Event cancellation: If, for some reason you will be unable to attend, please let us know by April 5th or you will be subject to a cancellation fee of 300 EUR.
    Event no-show: If you do not arrive for your reservation or fail to attend without contacting us, you will be charged for your accommodations for the entire period of the event, plus the cancellation fee.
    Additional person(s): If you require an extra person to be accommodated in your room, kindly inform us without delay. An additional charge of 150 EUR per person, per room will apply and must be organised in advance of the event.
    Early Departure: Should you need to leave the event earlier than May 3 at 19:00, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early, without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    Hotel extra charges: All extra costs (i.e. mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by ICEF and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.

    Additional nights

    Booking an additional night is optional and at your own expense. We will send you a booking link together with your hotel confirmation should you wish to extend your stay in Niagara Falls.

    Complimentary Shuttle Bus

    We are pleased to offer limited complimentary shuttle transfers on Wednesday 1st May (arrival) and Friday 4th May (departure) between Toronto Pearson International Airport and our partner hotels.

    The timetable for the shuttle buses will be released mid-April. To enable us to co-ordinate the timings of the shuttle buses it is important you inform us of your travel information promptly by Friday 29th March.

    Niagara Airbus

    We are pleased to announce that we have obtained a discount code for travel on Niagara Airbus.

    One way is $71.00 pp and a round-trip is $135.00 pp.

    The code is valid for travel from April 21 to May 12th 2024 and must be booked no later than 84 hours before your required pick-up time.

    Public transport – Bus/Train

    You can travel from Pearson International Airport to Niagara Falls via public transport. Please go to this website and plan your trip. Please know the trip may take up to 3h and the price of the ticket varies from $20 to $30. Once arriving in Niagara falls please know that you may require to take a taxi/uber to your hotel.

    Scheduling meetings prior to the event
    You will receive access to our online meeting scheduling tool (Marcom eSchedule PRO) approx. four weeks prior to the event, allowing you to send personalised meeting requests to targeted contacts based on source country or type of programme.
    We recommend scheduling a minimum of 25 meetings prior to the event.

    If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

    Scheduling meetings during the event
    To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last-minute meetings can be scheduled up to one hour before the requested meeting time.
    We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

    T&Cs on parallel events

    To ensure that we are able to provide the best experience for all attendees, we would like to draw your attention to two sections in our event terms and conditions. Section 11 specifically prohibits participants from organising any side event (be it hospitality, seminar, or tour), which entices attendees to leave during the programme. Should you wish to organise an event outside of programme times, where attendance is linked to the ICEF event, then ICEF must be notified in advance and approval must be received in writing. Additionally, section 12 mandates that any event, seminar, party, reception or tour organised before or after an ICEF event, with the intention of attracting or inviting event attendees, must be applied for and authorised no less than three months in advance please.

    Taking place May 01 in Niagara Falls. ICEF Finance is integrated into ICEF North America as an ‘event within an event’ and you do not need to purchase an additional ticket.

    On-site Check-in

    You will be able to collect your badge and welcome pack on Wednesday, May 1, 2024, between 09:30 am and 7:00 pm from the ICEF registration desk, located in the Pre Function area of the Niagara Falls Convention Centre. Participants arriving after this time can register from 8.00 am on Thursday, May 2.
    This is an invitation-only event and we cannot admit anyone not wearing a badge or any non-registered family, friends or staff members into the event area.

    Niagara Falls – General Information

    Niagara Falls, Ontario, is a Canadian city with the famous waterfalls of the same name, linked with the U.S. by the Rainbow Bridge. It sits on the Niagara River’s western shore and overlooks the Horseshoe Falls, the cascades’ most expansive section. Elevators take visitors to a lower, wetter vantage point behind the falls. A cliffside park features a promenade alongside 520-ft.-high Skylon Tower with an observation deck.
