Hotel Accommodation
Your accommodation at ICEF Vancouver 2023 will be sponsored by ICEF for three nights from Saturday afternoon, May 6, 2023 until Tuesday morning, May 9, 2023 at one of our partner hotels. Your presence at ICEF Vancouver will be expected from 09:00 to 19:00 on May 7-8.
A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated. All additional costs for the use of telephone, minibar, early check-in/late check-out, extra nights outside the event period, parking, laundry, room service, etc. will be at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
Should you need to leave the event in Vancouver earlier than May 8 at 19:00, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
Booking an additional night is optional and at your own expense. We will send you a booking form or link together with your hotel confirmation should you wish to extend your stay in Vancouver.
Visa Requirements
Please check travel and visa regulations with your respective embassy well ahead before traveling.
To see what type of visa you need to visit Canada please check Immigration, Refugees and Citizenship Canada. Visa-exempt foreign nationals who visit Canada will need an Electronic Travel Authorization (eTA). Exceptions include U.S. citizens and travellers with a valid visa.

Arrival in Vancouver
Vancouver International Airport (YVR)
Vancouver International Airport is connecting British Colombia to the world. It is located just south of Vancouver. The drive from the airport to the Hyatt Regency will take approximately 30 minutes depending on traffic. You can find more information about the airport here.
Taxis are available at the airport 24 hours a day. Taxi queue areas are located on level 2 at both the domestic and international arrivals terminals. The fare to the Hyatt Regency Hotel is approximately CAN $39.00.
The Canada Line metro train connects Vancouver International Airport to downtown Vancouver in under 30 minutes. The fare is $4.45 for adults each way, plus a $5.00 surcharge for all trips originating at the airport. The Hyatt Regency Vancouver is located at the Burrard Street station and will require a transfer at either Vancouver City Centre Station or Waterfront Station. Uber is also available at Vancouver Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.

Scheduling Meetings
Scheduling meetings prior to the event
You will receive access to our online meeting scheduling tool (Marcom eSchedule PRO) approx. four weeks prior to the event, allowing you to send personalised meeting requests to targeted contacts based on source country or type of progamme.
We recommend to schedule a minimum of 25 meetings prior to the event.
If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.
Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Vancouver.

On-site Check-in
You will be able to collect your badge and welcome pack on Saturday, May 6, 2023, between 10:00am and 7:00pm from the ICEF hospitality desk, located in the Georgia Foyer on level 2 of the Hyatt Regency Vancouver. Participants arriving after this time can register from 8.00am on Sunday, May 7.
This is an invitation-only event and we cannot admit anyone not wearing a badge or any non-registered family, friends or staff members into the event area.
COVID-19 Safety
The venue will adhere to strict hygiene regulations. Whenever possible please also respect an appropriate distance to other participants.
We are working closely with the venue and local authorities to ensure that we can deliver a safe event. As requirements might change we will update you regularly with the latest information.
