    The Cardo Roma is a recently renovated hotel located in the neighbourhood of the city centre, only 15 minutes drive from the Colosseum.     Visa Requirements

    Italy is one of the countries that make up the Schengen passport-free zone in Europe. Travellers from other Schengen Area countries are permitted freedom of movement simply by presenting a valid National ID card. A number of other visa-exempt countries can also currently gain visa-free access to Italy either by air, land or sea for a maximum stay of 90 days for tourism, business, or transit purposes.     Fiumicino ‘Leonardo da Vinci’ (FCO)

    There are two airports in Rome but the main one is ‘Leonardo da Vinci’ International Airport, better known to air travellers as Fiumicino (FCO). The capital’s largest airport excels in particular for the quality of the services provided to passengers, technological innovation and the functionality of its infrastructures. These records, combined with the operational efficiency has made ‘Leonardo da Vinci’ one of the most punctual airports in Europe.

    Taxis: Taxi service is available at Terminal 1 and Terminal 3 arrival areas of the airport Fiumicino ‘Leonardo da Vinci’ (FCO). The fare is between €35 and €45, depending on traffic conditions.

    FreeNow or Uber are also available.

    Public Transport:

    Buses to the main station of Roma Termini depart from:
    Stop: Regional Bus Station at Terminal 1 – Arrivals
    Stop: Bus Station adjacent to exit 6 of Terminal 3 – Arrivals, bus stand no.15.
    Tickets can be purchased directly from the driver.

    Trains depart from the railway station located inside the airport area close to the arrival and departure terminals. From there you can reach the city centre using the numerous and frequent Trenitalia connections:

    • The Leonardo express, non-stop service dedicated exclusively to airport passengers to/from Roma Termini with departures every 15 minutes and travel time of 32 minutes
    • The FL1 regional line to cover other stations / stops in the city, with departures every 15 minutes on working days and every 30 minutes on weekends and holidays.

    Please note that once you reach Roma Termini Station, you will have to take the blue Metro line B or B1 heading to the direction ‘Laurentina’ and get out at station ‘EUR Magliana’ to reach the hotel.

    Forwarding of Promotional Material

    Your materials for ICEF Secondary Education can arrive from Thursday, September 12, 2024 in Rome (but not before) allowing you sufficient time to check if your packages have been delivered correctly. Please contact a courier of your choice. It is very important that you include a proforma invoice. Inspections of deliveries with incomplete documents can take up to four weeks.

    Package preparation

    When calculating the amount of promotional materials to send to Rome please bear in mind that you will have a maximum of 38 pre-scheduled meetings. You can download the specific delivery labels including shipping instructions here.

    Sustainable alternatives

    As we recommend to reduce the use of paper, you can also upload up to five documents, three videos and up to eight photos into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event. In addition, if you’d like to make an impression at your dedicated table here are some suggestions to help you stand out:

    • Branded table cloth.
    • Reusable table top roller banner.
    • QR code to your website/brochures/offers.
    • Sustainable giveaways for your potential partners.
    • No need for business cards – delegates can scan your v-card on the reverse side of your badge.
    • Laptops – power is provided at each table, take your partners through your presentations and videos.

    Please also consider using local suppliers to cut down international shipping.

    Please note that only organisations with an exhibit table may bring a pull up banner. We are unable to facilitate any form of pull up banner in the meeting hall space. All branding must be kept to table top items only.

    Please be aware that although Wi-Fi will be provided, we recommend downloading your event materials, presentations and videos directly to your device for your meetings. This helps reduce GHG emissions and ensures the network traffic is not overloaded.

    Scheduling Meetings

    Scheduling meetings prior to the event

    Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

    If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

    Scheduling meetings during the event

    To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

    We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

    Seminars

    You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Secondary Education.

    Programme details can be found under the seminar tab on your schedule and on the event website.
    The presentations will be also available on-demand through our online platform for up to four weeks after.

    Meeting and Display Tables

    Meeting tables will be accessible as of 08:00 on Sunday, September 15.
    Each meeting table (180cm x 70cm) will have access to an electricity outlet.

    Display tables for Service Providers will be accessible as of 08:00 on Sunday, September 15.
    Each dispaly table (180cm x 70cm) will have access to an electricity outlet and a literature display rack.

     

    Cardo Roma has a table cloth free concept so no table cloths will be provided for exhibit and meeting tables.
    If you would like to have a table cloth please bring one with you. Table size is: 180cm x 70cm x 80cm.

    On-site Check-in

    You will be able to collect your badge and welcome pack on Saturday, September 14, 2024, from 13:00 to 19:00 at the ICEF hospitality and registration desk located in the Foyer Eclissi, on the Ground Level of the Cardo Roma.

    Participants arriving after this can register on Sunday, September 15 from 8:00 onwards in the same location.

    As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

    To ensure that we are able to provide the best experience for all attendees, we would like to remind you that agents are hosted at ICEF events on the condition that they remain with the event for the duration of the programme (specifically, from day 1 registration to end of meetings on day 3).     Refreshments and Lunches

    Snacks and refreshments are available on September 14 at 16:30, on September 15 and September 16 both at 11:00 as well as at 16:00.

    Lunch will be provided at 13:00 on September 15 and September 16 in the Sala Nebulosa on the Ground Level of the Cardo Roma.

    Welcome Reception

    Saturday, September 14, 19:00 to 21:00 in the Foyer Cosmo, on the Ground Level of the Cardo Roma.

    Dinner Reception

    Sunday, September 15, 20:00 to 23:30 in the Sala Nebulosa on the Ground Level of the Cardo Roma.

    The dress code for both receptions is smart casual. Please note that participants not wearing their event badge will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.
