    The above rates are subject to tax. A deposit of £100 and tax will be charged to the individual’s credit card at the time of reservation. Rates are available for bookings from 23rd September to 26th September, subject to room availability. For bookings outside this period the regular room rates become applicable.

    Visa Requirements

    Please know that depending on your nationality you’ll either; have to apply for a Standard Visitor visa before you travel to the UK or be able to visit the UK for up to 6 months without needing a visa. You can check here if you need a visa before you apply.

    Visa-free entry:

    If you have to apply for a Standard Visitor visa please go to this website. A Standard Visitor visa costs £115 for up to 6 months. The earliest you can apply is 3 months before you travel.

    If you do not need a visa, you must still meet the Standard Visitor eligibility requirements to visit the UK. You may be asked questions at the UK border about your eligibility and the activities you plan to do.

    Arrival in London
    London Heathrow

    The airport is situated 9 kilometers from the center of London, and there are a number of choices available to passengers for how they get from the airport to the city. You can find more information about the airport below.

    London Heathrow Airport (LHR) is situated approximately 50km from the event venue, which can be reached in 1,5 hour. More information on how to get from and to London Heathrow Airport (LHR) can be found here.

    Taxi: Taxis are easily available outside each terminal. The taxi fare to central London from Heathrow is around £45–£70 with a journey time of approx one hour.

    Uber: Depart from Terminal 2, 3, 4 or 5’s short-stay parking lot. The app will tell you where to go once you’ve requested a ride and your driver is confirmed. The cost of an Uber depends on traffic, your destination and other factors.

    Airport Shuttle Bus

    Heathrow Central Bus Station between Terminals 2 and 3 is the quickest departure point for both National Express and Megabus coaches. If you leave Terminal 4, take the free shuttle to the bus station. You can also alight a coach from Terminal 5 (look for arrivals level stops 13, 14 and 15 for Megabus).

    Public transport

    From Terminals 2 and 3, National Express coaches take anywhere from 55 minutes to one hour and 20 minutes to reach Victoria Coach Station, depending on the time of day you travel. Megabus lists transit times of 45 and 55 minutes for the same journey. For National Express coaches, a single journey starts from 6 pounds ($7.42) per person. For Megabus coaches, a single journey starts from 8 British pounds ($9.89).

    Heathrow Express – Speed into London Paddington in just 15 minutes with the quick and convenient Heathrow Express. Non-stop trains run every 15 minutes from all terminals to Paddington station, where you can transfer to the London Underground or the Elizabeth Line. Prices start from £15.00 (if booked in advance) and you can buy tickets online or at the airport. Find out more.

    Forwarding of Promotional Material

    Your materials can arrive from Friday, 20 2024. The venue is unable to store any items received before this date, as a result they may not be accepted.

    Please contact a courier of your choice. It is very important that you include a proforma invoice. Inspections of deliveries with incomplete documents can take up to four weeks.

    Package Preparation

    Sustainable Alternatives
    As we recommend to reduce the use of paper, you can also upload up to five documents, three videos and up to eight photos into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event.

    Please be aware that although Wi-Fi will be provided, we recommend downloading your event materials, presentations and videos directly to your device for your meetings. This helps reduce GHG emissions and ensures the network traffic is not overloaded.

    Scheduling meetings prior to the event

    Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

    If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

    Scheduling meetings during the event

    To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

    We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.


    You can build your own personalised programme of optional seminars and provider presentations held on the first day at the ICEF Monitor Global Summit.

    Programme details will be available soon and can be found under the seminar tab on your schedule or on the event website.

    Exhibit Area and Meeting Tables

    Meeting tables and exhibitor PODs will be accessible as of 08:00am on Tuesday 24th September.

    Each table will be covered with a tablecloth and will have access to an electricity outlet.

    Table signage with the name and logo of each institution will be provided.

    On-site Check-in

    You will be able to collect your badge and welcome bag from the ICEF hospitality desk located in the Arora Pre-function area on Monday 23, 2024, from 09:00 am to 21:00 pm.

    Participants arriving after the above stated period can register on Tuesday 24, 2024 from 08:00 am onwards.

    As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.

    T&Cs on parallel events

    To ensure that we are able to provide the best experience for all attendees, we would like to draw your attention to two sections in our event terms and conditions. Section 12 specifically prohibits participants from organising any side event (be it hospitality, seminar, or tour), which entices attendees to leave during the programme. Should you wish to organise an event outside of programme times, where attendance is linked to the ICEF event, then ICEF must be notified in advance and approval must be received in writing. Additionally, section 12 mandates that any event, seminar, party, reception or tour organised before or after an ICEF event, with the intention of attracting or inviting event attendees, must be applied for and authorised no less than three months in advance please.

    Refreshments and Lunches

    Snacks and refreshments will be served on Monday, 23 at 09:30 am, 15:00 pm , 17:00 pm and Tuesday, 24 at 08:00 am, 11:00 am, 16:00 pm and Wednesday, 25 at 08:00 am, 11:00 am and 16:00 pm .

    Lunch will be provided from 12:30 pm to 13:30 pm on the 23rd, and 13:00 pm to 14:00 pm 24th and 25th in the Arora Ballroom.
