Hotel Accommodation
Your accommodation at ICEF Eurasia 2023 will be sponsored by ICEF for three nights from Monday afternoon, March 13, 2023 until Thursday morning, March 16, 2023 at one of our partner hotels. Your presence at ICEF Eurasia will be expected from 09:00 to 19:00 on March 14 and 15.
A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated. All additional costs for the use of telephone, minibar, early check-in/late check-out, extra nights outside the event period, parking, laundry, room service, etc. will be at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
Should you need to leave the event in Istanbul earlier than March 15 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
Booking an additional night is optional and at your own expense. We will send you a booking form or link together with your hotel confirmation should you wish to extend your stay in Istanbul.
Visa Requirements
While some countries are exempt from a visa to enter Turkey for tourist and business purposes, there are also a number of countries whose citizens need to apply either for an e-visa or obtain avisa upon arrival.

Please also check your country-specific COVID-19 related travel requirements for Turkey before travelling and make sure you have medical insurance for the whole duration of your stay.
Arrival in Istanbul
Sabiha Gökçen International Airport
The airport is located on the Anatolian side of Istanbul at Kurtköy in Pendik district, and is about 50 km from the Hilton Istanbul Bosphorus, the event venue.

Taxis from Sabiha Gökçen International Airport to the Hilton Istanbul Bosphorus take approximately 65-75 minutes and fares start from TRY450 depending on the traffic.
HAVAIST Shuttle buses run between Sabiha Gökçen Airport and Taksim Square. The latter is 1.2 km or 16 min walk from the Hilton Istanbul Bosphorus hotel.
The white coloured shuttles are parked in front of the arrivals terminal building. A one way ticket costs 47 TRY per person and you can find detailed information as well as purchase tickets here.
Istanbul International Airport
The airport is located in Arnavutköy district 35 kilometers from the city center and it will take approximately 1 hour to get to the Hilton Istanbul Bosphorus hotel.

Taxi services are available 24 hours a day, 7 days a week. There are three types of vehicles: black “E” type, blue “D” type, and orange “C” type taxis.
Taxis can be found at the main pick-up point located outside the Plaza Section for domestic and international flights as well as on the departure level (2nd floor). Prices start from TRY 310. More detailed information is available here.
Shuttle bus transportation between the airport and the city center is provided via 10 HAVAIST routes. Due to the corona virus pandemic, bus frequency is constantly adjusted in accordance with the number of flights and passenger density. Scheduling Meetings
Scheduling meetings prior to the event
Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

As ICEF Eurasia will be conducted as a hybrid event you can either meet participants face-to-face at the event or you can connect with remote participants in virtual meetings. Face-to-face onsite meetings will take place at meeting or display tables. The meeting location will be indicated on your schedule. Virtual meetings are held online using Marcom eSchedule PRO’s integrated Zoom function. Simply click on the camera icon on your schedule to start a virtual meeting.
Participants attending remotely are indicated with an orange R icon on the participant list and on your MySchedule page.
Please ensure to bring your own device and headset to join any virtual meetings.

Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

You can build your own personalised programme of optional seminars, webinars and provider presentations held on the first day of ICEF Eurasia.

On-site Check-in
You will be able to collect your badge and welcome pack on Monday, March 13 2023, between 13:00 and 19:00 from the ICEF hospitality desk, located in front of the Connie Ballroom. Participants arriving after this time should come to the ICEF hospitality desk from 8:00 a.m. on Tuesday, March 14 in front of the Ambassador Ballroom.
This is an invitation-only event and we cannot admit anyone not wearing a badge or any non-registered family, friends or staff members into the event area.
COVID-19 Safety
The venue will adhere to strict hygiene regulations. Whenever possible please also respect an appropriate distance to other participants.
We are working closely with the venue and local authorities to ensure that we can deliver a safe event. As requirements might change we will update you regularly with the latest information.
Refreshments and Lunches
Snacks and refreshments will be served on March 14 and 15 at 11:00 as well as 16:00 hours. Lunch will be provided from 13:00 to 14:00.
Meals will be prepared to halal standards. Please contact us should you have any additional special dietary requirements.
