    Hotel Accommodation

    *only applicable for fully sponsored agencies located outside of London.

    You will be provided with a hotel room for three nights from Friday afternoon, September 12, 2025 until Monday morning, September 15 2025. at one of our partner hotels. 

    Your presence will be expected throughout the duration of the event.

    A formal hotel booking confirmation will be sent to you approximately four weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated.

    Accommodation terms & conditions: 

    • Event cancellation: If for some reason you will be unable to attend, please let us know by August 1 2025 or you will be subject to a cancellation fee of 395 EUR.
    • Event no-show: If you do not arrive for your reservation or fail to attend without contacting us, you will be charged for your accommodations for the entire period of the event, plus the cancellation fee.
    • Additional person(s): If you require an extra person to be accommodated in your room, kindly inform us without delay. An additional charge of 150 EUR per person, per room will apply and must be organised in advance of the event.
    • Early Departure: Should you need to leave the event earlier than Sunday 14 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    • Hotel extra charges: All extra costs (i.e.breakfast, mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by ICEF and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
    • Check-in & Check-out: Earliest possible check-in time is 15:00 and latest check-out time is 12:00 noon.

    Additional nights:

    Booking an additional night is optional and at your own expense. Please click here to book online if you wish to extend your stay. Please only reserve additional nights outside of your sponsored nights.

    Visa Requirements

    The information below is advisory, we recommend you check your own visa requirements with your local embassy. 

    If you need a Standard Visitor visa, you must apply online before you travel to the UK and attend an appointment at a visa application centre.

    The earliest you can apply is 3 months before you travel.

    Depending on your nationality, you may not need a visa to visit the UK. If you do not need a visa, you’ll either:

    Arrival in London
    London airports

    London Heathrow (LHR)
    London Heathrow is situated approximately 50km from the event venue, which is a 50-minute drive. 

    London Gatwick (LGW)
    Gatwick Airport is situated approximately 70km from the venue and is an hour’s drive. 

    London City Airport (LCY)
    London City Airport is approximately 17km away from the venue and is a 20-minute drive. 

    London Stansted (STN)
    London Stansted is approximately 80km away from the venue, and is around an hour’s drive.

    Public Transport

    London Underground
    The nearest underground station to the venue is North Greenwich, which is a five-minute walk away. 

    From London Heathrow
    Underground stations are available at terminals two and three, four, and five with frequent services into central London. You will then need to change underground stations to make your way to North Greenwich. A journey planner, including prices, is available here.

    From Gatwick Airport
    The Gatwick Express, Thameslink, and Southern train lines can take you directly into central London, where you can change to use the London Underground to North Greenwich. A journey planner and information on how to pay are available here

    From London City Airport
    The Docklands Light Railway (DLR) departs every four to 10 minutes directly into central London, where you can change to use the London Underground to North Greenwich. A journey planner and information on how to pay are available here.

    From London Stansted
    Stansted Express services run every 15 minutes into central London. From there, you can change to use the London Underground to North Greenwich. A journey planner is available here.

    Taxis
    Taxis are readily available from each airport. You can also book taxis via the Uber app. The cost will depend on traffic and other factors.

    Scheduling meetings during the event

    To make the most of your participation, meetings can be scheduled once the event has started, up to one hour before the requested meeting time. 

    We recommend that you leave Marcom eSchedule PRO open throughout the event and regularly refresh the page to keep an eye on the latest meeting requests that may come through. 

    Please note that you will not be provided with a printed copy of your schedule at the event.

    Getting the most out of an ICEF event
    On-site check-in

    You will be able to collect your badge and welcome bag from the ICEF registration desk located in the Arora Foyer from 09:30 to 19:30 on Friday, September 12. 

    As this is an invitation-only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason, we cannot allow non-registered family, friends or staff to enter the meeting hall.

    Seminars

    Opening the first day, the ICEF Monitor Global Summit provides an engaging programme designed to foster discussions around the trends and pressing challenges facing the international higher education sector. In addition, you will benefit from a seminar track dedicated entirely to accommodation.

    All seminars will take place in the InterContinental London – The O2.

    Evening Networking Receptions

    Welcome Reception: Friday, September 12, 19:00 – 21:00 in the Arora Foyer

    Dinner Reception: Saturday, September 13, 20:00 – 23:00 in the Arora Ballroom 

    The dress code for both receptions is smart casual. Please note that participants not wearing their event badges will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.

    If you are attending as an accompanying person without a meeting schedule your attendance at both receptions will be automatically registered.

    • Time zone: London operates on Greenwich Mean Time (GMT) during the winter and British Summer Time (BST, GMT+1) during daylight saving time.
    • Currency: The official currency is the British Pound Sterling (GBP). For current exchange rates, please see x-rates. Credit cards are widely accepted.
    • Electricity: The standard voltage is 230 V, and the frequency is 50 Hz.
    • Plug type: The power plugs and sockets are of type G. Visitors may need to bring their own adaptors.
    • Climate: London has a temperate maritime climate, with mild winters and cool summers. Average temperatures in January are around 8°C during the day and 3°C at night.
