  • Welcome to your first ICEF event!

    This guide has been put together to help you prepare for the event and get ready to make the most of your experience. If your question isn’t covered below, your account manager or the events team (emt@icef.com) will be happy to help.

    Information to review
    • You will receive a confirmation email upon registering.
    • Around three months before the event, an information pack will also be shared with everything you need to know, including visa support, information on travelling to the venue, and the programme.
    • If you have a meeting schedule, you will receive login details for the Marcom eSchedule Pro platform five weeks before the event.
    • If you are an agent with accommodation provided by ICEF, you will receive hotel confirmation details approximately four weeks before the event.
    • We also recommend you view the event terms & conditions to understand what is expected from your participation.
    Plan your event schedule
    • Marcom eSchedule Pro is our meeting platform, where you can arrange meetings and explore potential partners.
    • If you are new to using the platform, we recommend taking a look at these guides: Getting StartedScheduling Meetings – Useful Hints & Tips, Video tutorials
    • Login details will be shared five weeks before the event.
    • Attendance for the seminars and evening receptions are optional but highly recommended to maximise your attendance at the event.
    • At selected events, there is also the opportunity for you to claim CPD accreditation from attending the seminars.
    • Further details on the event and seminar programme will be available on the event page and information pack.
    FAM tours
    • If you are a provider looking to host a FAM tour, you must submit the tour to ICEF for approval, which you can do here. Tours must be held outside the official event dates/times.
    • If you are an agent looking to attend FAM tours, you can view them on the event page and you will also be notified via email of available tours.
    • Please note that FAM tours are not arranged by ICEF.
    Visa support
    • Please contact visasupport@icef.com as early as possible if you require visa support.
    • You can also refer to the information pack for further guidance on visa requirements.
    Marketing materials - educators / service providers
    • Educators will have a meeting table within the main hall(s).
    • Service providers will have a display table or booth* (*at selected locations) which will be located either within the meeting hall(s) or within the foyer area.
    • You’re welcome to brand your space and bring marketing materials to hand out. Popular items include a branded tablecloth, sustainable giveaways, and reusable table top roller banners.
    • Table dimensions are included in the information pack.
    • If you have a booth, you will be contacted by the event manager for details on dimensions and inclusions.
    • Please note that only organisations with a display table or booth are permitted to display roller banners. Educator meeting tables are limited to tabletop items only.
    • Wifi and power is included at your table / booth.
    Shipping materials to the venue
    • Please refer to the event information pack for shipping details.
    • We recommend producing items locally where possible to support sustainable practices and to reduce delays / issues with customs.
    ICEF app
    • You can download the ICEF event app on (Android) or (Apple).
    • It’s one app for all events and here you can find more useful information such as your meeting schedule, pre-event checklists and the floorplan for the event.
    • Enable push notifications to stay updated.
    Registration

    Please collect your badge and lanyard on arrival at the registration desk.

    Lanyard colours represent:

    • Red = agents
    • Blue = educators
    • Purple = Service providers
    • Green = culture, exchange, work and travel providers
    • Grey = guests (e.g speakers)
    Connecting with other first-time attendees
    • At certain events, you can attend a dedicated session on how to maximise your event attendance. See the seminar schedule for further details.
    • Look for the ‘first time’ symbol on participants’ badges to connect with others who are also navigating the event for the first time
    Viewing your meeting schedule onsite
    • View your schedule on the Marcom eSchedule Pro event page or through the ICEF app.
    • We recommend you view your schedule online rather than relying on a printed copy in case there are changes whilst you are onsite.
    Reporting meeting no-shows
    • Please report any no-shows by clicking the below button next to the relevant meeting slot in your Marcom schedule. This alerts both the participant and the ICEF team who will attempt to contact the participant on your behalf.
    • If you have any queries regarding no shows, please go to the registration desk onsite.
    Getting the most out of an ICEF event
    Food and beverage
    • There is plenty of food and beverage available during the event. Event programmes vary so please refer to the infopack for details on what will be included on each day
    • If you have any dietary requirements, please let us know as early as possible so we can inform the venue.
    Tips for post-event
    • Follow-up after the meeting with a call or a message / email
    • Keep in touch regularly, and ensure you answer queries promptly
    • Educators can invite agents to visit your institution with dedicated FAM tours as well as conducting agent training online or hosting webinars
    • Create a special agent access only area on your website that only your partners can access
