    Hotel Accommodation

    *only applicable for fully sponsored agencies located outside of New Zealand.

    You will be provided with a hotel room for three nights from Wednesday afternoon, March 04, 2026 until Saturday morning, March 07, 2026 at one of our partner hotels. 

    Your presence will be expected throughout the duration of the event.

    A formal hotel booking confirmation will be sent to you approximately four weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated.

    Accommodation terms & conditions: 

    • Event cancellation: If for some reason you will be unable to attend, please let us know by January 21, 2026 or you will be subject to a cancellation fee of 395 EUR. Cancellations made from the February 25, 2026 will be subject to a cancellation fee of 895 EUR
    • Event no-show: If you do not arrive for your reservation or fail to attend without contacting us, you will be charged for your accommodations for the entire period of the event, plus the cancellation fee.
    • Additional person(s): If you require an extra person to be accommodated in your room, kindly inform us without delay. An additional charge of 150 EUR per person, per room will apply and must be organised in advance of the event.
    • Early Departure: Should you need to leave the event earlier than March 06 at 17:00, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    • Hotel extra charges: All extra costs (i.e. breakfast, mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by ICEF and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
    • Check-in and check-out: Times will vary according to each partner hotel and will be detailed on your hotel confirmation

    Visa Requirements

    The information below is advisory, we recommend you check your own visa requirements with your local embassy. 

    You must apply for an NZeTA if you are travelling as a permanent resident of Australia or if you have a passport from one of these countries. You do not need an NZeTA if you have a valid New Zealand visa.

    If you are applying for a general visitor visa, you need an invitation letter issued to you by ICEF confirming your participation in the event. If you wish to register for this service, please contact visasupport@icef.com as soon as possible. This service will be offered until February 04th.

    Please ensure that visa applications are submitted well before your intended travel date. It is recommended you apply at least 6 weeks in advance. Please also ensure that you check whether your proposed travel route will require any transit visas (Eg. Australia) and allow sufficient time to obtain these. 

    Arrival in Wellington

    Wellington International Airport (WLG / NZWN) is located approximately 7km from the event venue, reachable within approximately ten minutes by car, depending on traffic. 

    Wellington International Airport has one main passenger terminal. The terminal handles both domestic and international flights.

    Cathay Pacific discount

    Taxis are readily available at Wellington International Airport, with ranks located outside the baggage claim area. Several companies provide taxi services, including Wellington Combined Taxis, Kiwi Cabs, Hutt & City Taxis, Urban Link Wellington, and Capital Taxis. You can also book a taxi in advance or utilize ride-sharing services like Uber.

    Bus The Airport Express runs 7 days a week, every 10-20 minutes, except for the first few morning services and evening services. Travel time to the event venue from the Wellington International Airport is approximately 25-35 minutes, depending on traffic. You can find more information about Airport Express here.

    You will receive access to our online meeting scheduling tool, Marcom eSchedule PRO, approximately 5 weeks prior to the event, allowing you to send personalised meeting requests to targeted contacts based on source country or type of programme.

    Scheduling meetings during the event

    To make the most of your participation, meetings can be scheduled once the event has started, up to one hour before the requested meeting time. 

    We recommend that you leave Marcom eSchedule PRO open throughout the event and regularly refresh the page to keep an eye on the latest meeting requests that may come through. 

    Please note that you will not be provided with a printed copy of your schedule at the event. 

    Getting the most out of an ICEF event
    On-site check-in

    You will be able to collect your badge and welcome bag from the ICEF registration desk located in the Level 1 Foyer from 12:00 – 19:00 on Wednesday 04 March and in the Level 2 Foyer from 08:00 on Thursday 05 March. 

    As this is an invitation-only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason, we cannot allow non-registered family, friends or staff to enter the meeting hall.

    If you change your representative at the event it is important you inform your account manager of this in advance before arriving, otherwise you may experience delays at registration.

    Seminars

    Join us on the first day of the event for a programme of seminars and presentations providing up-to-date information about the latest market trends and issues relevant to international education and student mobility.

    Wednesday March 04, 19:30-21:30 at the Victoria University of Wellington. Transport will be available from Takina Wellington Convention and Exhibition Centre to the welcome reception.

    Thursday March 05, 19:15 – 23:30 on Level 1 at Takina Wellington Convention and Exhibition Centre. 

    The dress code for both receptions is smart casual. Please note that participants not wearing their event badges will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.

    If you are attending as an accompanying person without a meeting schedule your attendance at both receptions will be automatically registered.

    To ensure that we are able to provide the best experience for all attendees, we would like to remind you that agents are hosted at ICEF events on the condition that they remain with the event for the duration of the programme (specifically, from day 1 registration to end of meetings on day 3).     Wellington - General information
    • Time zone: Wellington is 13 hours ahead of GMT during daylight saving which will be observed during the event dates 
    • Currency: The official currency is the New Zealand Dollar (NZD).
    • Electricity: The standard voltage is 230 V, and the frequency is 50 Hz.
    • Plug type: The power plugs and sockets are of type I. Visitors may need to bring their own adaptors.
    • Climate: Wellington’s weather is pleasant as summer transitions to autumn, with average daytime highs around 19°C and nighttime lows around 12°C.
