Arrival in Vancouver
Vancouver International Airport (YVR)
Vancouver International Airport is connecting British Colombia to the world. It is located just south of Vancouver. The drive from the airport to the Hyatt Regency will take approximately 30 minutes depending on traffic. You can find more information about the airport here.

Taxis are available at the airport 24 hours a day. Taxi queue areas are located on level 2 at both the domestic and international arrivals terminals. The fare to the Hyatt Regency Hotel is approximately CAN $39.00.
The Canada Line metro train connects Vancouver International Airport to downtown Vancouver in under 30 minutes. The fare is $4.45 for adults each way, plus a $5.00 surcharge for all trips originating at the airport. The Hyatt Regency Vancouver is located at the Burrard Street station and will require a transfer at either Vancouver City Centre Station or Waterfront Station. Uber is also available at Vancouver Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.
Forwarding of Promotional Material
You may send promotional material to ICEF Vancouver, which can arrive no earlier than Monday, May 1st, 2023, allowing you sufficient time to check if your packages have been delivered. Please arrange this through a courier of your choice.
It is very important that you include a proforma invoice. Inspections of deliveries with incomplete documents can take up to 4 weeks.
If you are shipping goods from outside of Canada to the event, please find a CBSA recognition letter here acknowledging that ICEF Vancouver is an international event. Please add the letter to your packages as it will allow you to send your materials to Canada free of customs duty and taxes.
Package Preparation
When calculating the amount of promotional materials to send to Vancouver, please bear in mind that you will have a maximum of 38 pre-scheduled appointments plus other meetings outside event hours that may be arranged.
As we recommend to reduce the use of paper, you can also upload up to five documents (max size of 5 MB each), three videos (YouTube, Dailymotion and Vimeo links are supported) and up to eight photos with a (max size of 5 MB each) into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event.

Scheduling Meetings
Scheduling meetings prior to the event
You will receive access to our online meeting scheduling tool (Marcom eSchedule PRO) approx. four weeks prior to the event, allowing you to send personalised meeting requests to targeted contacts based on source country or type of programme.

Meetings will take place at your designated meeting table or booth, indicated on your schedule. If you are using Marcom eSchedule PRO for the first time, we recommend that you review the following information: Getting Started | Scheduling Meetings – Useful Hints & Tips | Video tutorials.
Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.
Seminars

You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Vancouver.

Meeting Tables and Exhibit Booths
Meeting tables will be accessible as of 08:00 am on Sunday, May 7.
Each meeting table will be covered with a table cloth and will have access to an electricity outlet.
Table signage with name and logo of each institution will be provided.
Booths will be accessible between 5 – 7 pm on Saturday, May 6, and from 8 am on Sunday, May 7.
Each booth will be equipped according to size. Additional furniture, booths graphics and AV equipment can be ordered through Show in Motion. Please see the order form here.
On-site Check-in
You will be able to collect your badge and welcome pack on Saturday, May 6, 2023, between 9:00am and 7:00pm from the ICEF hospitality desk, located in the Georgia Foyer on level 2 of the Hyatt Regency Vancouver. Participants arriving after this time can register from 8 am on Sunday, May 7.
This is an invitation-only event and we cannot admit anyone not wearing a badge or any non-registered family, friends or staff members into the event area.
COVID-19 Safety
The venue will adhere to strict hygiene regulations. Whenever possible please also respect an appropriate distance to other participants.
We are working closely with the venue and local authorities to ensure that we can deliver a safe event. As requirements might change we will update you regularly with the latest information.
