Visa Requirements

While many countries are exempt from obtaining a visa to enter Turkey for tourist and business purposes, there are also a number of countries whose citizens need to apply either for an e-visa or obtain a visa upon arrival.

Arrival in Istanbul

Sabiha Gökçen International Airport

The airport is located on the Anatolian side of Istanbul at Kurtkoy in Pendik district, and is about 50 km from the Hilton Istanbul Bosphorus, the event venue.


Taxis from Sabiha Gökçen International Airport to the Hilton Istanbul Bosphorus take approximately 65-75 minutes and fares start from TRY450 depending on the traffic.

HAVAIST Shuttle buses run between Sabiha Gökçen Airport and Taksim Square. The latter is 1.2 km or 16 min walk from the Hilton Istanbul Bosphorus.

The white coloured shuttles are parked in front of the arrivals terminal building. A one way ticket costs 47 TRY per person and you can find detailed information as well as purchase tickets here.

Istanbul International Airport

The airport is located in Arnavutköy district 35 kilometers from the city center and it will take approximately 1 hour to get to the Hilton Istanbul Bosphorus hotel.


Taxi services are available 24 hours a day, 7 days a week. There are three types of vehicles: black “E” type, blue “D” type, and orange “C” type taxis.

Taxis can be found at the main pick-up point located outside the PlazaSection for domestic and international flights as well as on the departure level (2nd floor). Prices start from TRY 310. More detailed information is available Passengers who want to benefit from taxi services can use the vehicles standing at their main stop point which is located at Plaza Section Domestic and International Flights Passenger exit doors as well as vehicles at departure floor (2. floor). Shuttle Bus. Transportation between the airport and the city center is provided via 10 HAVAIST routes. Due to the coronavirus pandemic, bus frequency is constantly adjusted in accordance with the number of flights and passenger density. Forwarding of Promotional Material

Delivery Date

Your materials for the ICEF Eurasia can arrive from March 13, 2023 in Istanbul (but not before) allowing you sufficient time to check if your packages have been delivered correctly. Please contact a courier of your choice.

Package Preparation

When calculating the amount of promotional materials to send to Istanbul, please bear in mind that you will have a maximum of 38 pre-scheduled meetings onsite. Please refer to the Shipping Instructions and Delivery Label for detailed information.

As we recommend reducing the use of paper, you can also upload up to five documents (max size of 5 MB each), three videos (YouTube, Dailymotion and Vimeo links are supported) and up to eight photos (max size of 5 MB each) into your Marcom eSchedule PRO profile and make them available to agents prior to, during and for four weeks after the event.

Scheduling Meetings

Scheduling meetings prior to the event

Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests.


As ICEF Eurasia will be conducted as a hybrid event you can either meet participants face-to-face at the event or you can connect with remote participants in virtual meetings. Face-to-face onsite meetings will take place at your meeting or display table. Virtual meetings are held online using Marcom eSchedule PRO’s integrated Zoom function. Simply click on the camera icon on your schedule to start a virtual meeting.

Participants attending remotely are indicated with an orange R icon on the participant list and on your MySchedule page.

Please ensure to bring your own device and headset to join any virtual meetings.

If you are using Marcom eSchedule PRO for the first time, we recommend that you review the following information: Getting Started | Scheduling Meetings – Useful Hints & Tips | Video tutorials.

Scheduling meetings during the event

To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

Meeting and Display Tables

Meeting and Display tables will be accessible as of 08:00 am on Tuesday, March 14th.

Each meeting table will be covered with a table cloth and will have access to an electricity outlet.

Table signage with name and logo of each institution will be provided.

On-site Check-in

You will be able to collect your badge and welcome pack on Monday, March 13 2023, between 13:00 and 19:00 from the ICEF hospitality desk, located in front of the Connie Ballroom. Participants arriving after this time should come to the ICEF hospitality desk from 8.00am on Tuesday, March 14 in front of the Ambassador Ballroom.

This is an invitation-only event and we cannot admit anyone not wearing a badge or any non-registered family, friends or staff members into the event area.

Snacks and refreshments will be served on March 14 and 15 at 11:00 as well as 16:00 hours. Lunch will be provided from 13:00 to 14:00.

Istanbul – General Information

Istanbul is Turkey’s most populous city and its cultural and financial center. Located on both sides of the Bosphorus, the narrow strait between the Black Sea and the Marmara Sea, Istanbul bridges Asia and Europe both physically and culturally.

Quick facts:

  • Time zone: GMT+3:00.
  • Climate: The first month of the spring, March, is a cool month with an average temperature varying between 12°C (53°F) during the day and 7°C (45°F) at night. The average rain fall in March is 14 days.

  • Taxis: Taxis are readily available and reasonably priced, but always insist to have the meter running to prevent overcharging.
