Hotel Accommodation

Sponsored accommodation is provided to agents travelling from outside New Zealand.

If your participation includes sponsored accommodation, ICEF will provide a room for three nights from Monday, April 22, 2024 to Thursday morning, April 25, 2024 at one of our partner hotels. Your presence at ICEF ANZA will be expected from 09:00 to 17:00 on April 23 and 24, at minimum. Please also attend the seminars and Welcome Reception on April 22.

A hotel booking confirmation will be sent to you approximately four weeks prior to the event. ICEF will sponsor one room per agency. Please be aware that additional costs incurred for services such as telephone, minibar, early check-in / late check-out, extra nights outside the event period, parking, laundry, room service, etc., will be at your own expense. The hotel will ask you for credit card details upon check-in.

Should you need to leave the event earlier than April 24 at 17:00, please inform us well in advance. In accordance with our Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.

Booking additional nights is optional and will be at your own expense. We will send you booking details together with your hotel confirmation should you wish to extend your stay in Christchurch.

Visa Requirements

All visitors to New Zealand must have a valid visa to travel to and enter New Zealand (except Australian passport holders or a foreign passport holder with a valid visa for New Zealand). You will need to apply for a visitor visa.

European Union (EU) and some other European passport holders are eligible to apply online for an NZeT. See the full list of countries included in the visa waiver here.

If your country is not listed above, you are required to apply for a visa. You can apply online here.

Please note that ICEF can only provide you with a letter of invitation for the duration of the event (April 22 – 24). If you require a letter of invitation, please contact cferst@icef.com. Deadline for invitation letter requests is March 11, 2024.

Arrival in ĹŚtautahi | Christchurch

ĹŚtautahi | Christchurch Airport

Christchurch Airport is located approximately 10.5 kilometres from Te Pae Christchurch. The drive from the airport to the Te Pae Christchurch or any of our partner hotels will take approximately 20 minutes depending on traffic.

Taxis The taxi rank is located outside International Arrivals (exit through Door 7). Prices vary by company. Your taxi is charged $5.50 to collect or deliver you to Christchurch Airport.

Rideshare Uber and Ola driver-partners can pick you up or drop you off at the airport. Please wait until you have collected your luggage and are ready to leave the airport before requesting your ride through the Ola or Uber app. There are dedicated rideshare pick-up bays. Simply exit the terminal and follow the signs to the Rideshare Pick-up and Drop-off Zone, located behind the Express Park building.

Public Transport Buses depart from the northern end of International Arrivals, next to the Novotel hotel (exit through Door 9).  Tickets can be purchased directly from the driver. For fares and other information, please visit the Metro website or call +64 (3) 366 8855. Please note there is a charge for these bus services to access Christchurch Airport.

Scheduling Meetings

Scheduling meetings prior to the event

Approximately six weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. Marcom eSchedule PRO allows you to select potential partners according to geographical origin or type of programmes and to send personalised meeting requests. We recommend to schedule a minimum of 25 meetings prior to the event.

If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.

Scheduling meetings during the event

To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.

We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.

T&Cs on parallel events

To ensure that we are able to provide the best experience for all attendees, we would like to draw your attention to two sections in our event terms and conditions. Section 11 specifically prohibits participants from organising any side event (be it hospitality, seminar, or tour), which entices attendees to leave during the programme. Should you wish to organise an event outside of programme times, where attendance is linked to the ICEF event, then ICEF must be notified in advance and approval must be received in writing. Additionally, section 12 mandates that any event, seminar, party, reception or tour organised before or after an ICEF event, with the intention of attracting or inviting event attendees, must be applied for and authorised no less than three months in advance please.

On-site Check-in

You will be able to collect your badge and welcome pack on Monday, April 22, 2024, from 12:00 to 19:00 at the ICEF hospitality and registration desk located in the foyer on the Ground Level of Te Pae, Christchurch.

Participants arriving after this can register on Tuesday, April 23 from 8:00 onwards.

Since this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please understand that we cannot allow non-registered family, friends or staff to enter the meeting hall.

Refreshments and Lunches

Snacks and refreshments are available on April 22 at 16:30, on April 23 at 11:00 as well as at 16:00 and on April 24 at 11:00 as well as at 15:50.

Lunch will be provided at 13:00 on April 23 and April 24 next to the Exhibition hall.

Evening Networking Receptions

Welcome Reception
Monday, April 22, 19:00 to 21:00 in the Dobson Foyer.

Dinner Reception
Tuesday, April 23, 19:30 to 23:30 in the Rivers room on Level 1.

The dress code for both receptions is smart casual. Please note that participants not wearing their event badge will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MY SCHEDULE page.
