
Hotel Accommodation
Your accommodation at ICEF Africa 2023 will be sponsored by ICEF for 3 nights from Monday afternoon, June 12, 2023 until Thursday morning, June 15, 2023 at one of our partner hotels. Your presence at ICEF Africa will be expected from 09:00 to 18:30 on June 13-14.
A formal hotel booking confirmation will be sent to you approximately three weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated. All additional costs for the use of telephone, minibar, early check-in/late check-out, extra nights outside the event period, parking, laundry, room service, etc. will be at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
Should you need to leave the event in Cape Town earlier than June 14 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early, without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
Booking an additional night is optional and at your own expense. We will send you more information with your hotel confirmation should you wish to extend your stay in Africa. If you wish to know more please contact me via email at kguc@icef.com.

Visa Requirements
Requirements for visas differ from country to country, click here to see which countries are currently exempt (these could be subject to change). As each application is treated as an individual case, you should make enquiries with your nearest South African mission or consulate abroad, or any office of the South African Department of Home Affairs to see whether or not you are required to apply for a visa.
Remember that there is a fee charged for issuing a visa, which is updated annually.
Arrival in Cape Town
Cape Town International Airport (CPT)
Cape Town International Airport (CPT) is situated approximately 20 km from the city centre. The drive from the airport to the Westin will take approximately 20 – 30 minutes depending on traffic. You can find more information about the airport here

MyCiTi Airport Shuttle: MyCiti Bus route #A01 covers the trip between CTP Airport and the Civic Center. Buses depart every 20 minutes approximately and run daily from 05:00 to 21:30. The ticket cost is calculated according to distance. Despite the km/rate, there are several charges depending on the time of the day. MyCiti bus station in Cape Town Airport is located in the Transport Plaza.
Taxis: For safety and security, arriving passengers should only use Touch-Down Taxis, the officially authorised airport taxi service provider. Cars can be booked in advance on: +27 083 652 0786 or +27 082 569 7555.
Uber: is also available at Cape Town International Airport. Rates from and to the airport may differ depending on time and traffic. Check the price estimator in your Uber app.
Scheduling Meetings
Scheduling meetings prior to the event
Approximately three weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling platform. The platform allows you to select potential partners according to geographical origin, type of programmes, and to send personalised meeting requests. We recommend scheduling a minimum of 25 meetings prior to the event.

As this event will be conducted as a hybrid event you can either meet participants face-to-face at the event or you can connect with remote participants in virtual meetings. Face-to-face onsite meetings will take place at meeting or display tables. The meeting location will be indicated on your schedule. Virtual meetings are held online using Marcom eSchedule PRO’s integrated Zoom function. Simply click on the camera icon on your schedule to start a virtual meeting.
Participants attending remotely are indicated with an orange R icon on the participant list and on your MySchedule page.
Please ensure to bring your own device and headset to join any virtual meetings.
If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the Getting Started Information as well as Scheduling Meetings – Useful Hints & Tips or to view our video tutorials.
Scheduling meetings during the event
To make the most of your participation, you can still schedule meetings with other participants once the event has started. Last minute meetings can be scheduled up to one hour before the requested meeting time.
We recommend that you leave Marcom eSchedule PRO open throughout the event to keep an eye on any new meeting invitations that may come through. Please regularly refresh your eSchedule PRO page to make sure that it’s always up to date with the latest requests.
Seminars

You can build your own personalised programme of optional seminars and provider presentations held on the first day of ICEF Africa.
Seminars are available either live during the event or on-demand through our online platform for up to four weeks after. Programme details can be found under the seminar tab on your schedule.
On-site Check-in
You will be able to collect your badge and welcome bag from the ICEF registration desk located in the Old Harbour Lobby on Monday, June 12th, from 12:45 to 19:00.
Participants arriving after the above stated period can register in the Old Harbour Lobby on Tuesday, June 13th, from 08:00 onwards.
As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.
COVID-19 Safety
The venue will adhere to strict hygiene regulations. It is no longer mandatory to wear a facemask, but whenever possible please respect an appropriate distance to other participants.
We are working closely with the venue and local authorities to ensure that we can deliver a safe event. As requirements might change we will update you regularly with the latest information.
Refreshments and Lunches
Snacks and refreshments will be served on June 13th and 14th at 08:00, 11:00 as well as 16:00 hours. Lunch will be provided from 13:00 to 14:00 in the Thirty7 Exclusive Restaurant on June 12th, 13th and 14th.

Evening Networking Receptions
Welcome Reception
Monday, June 12th, 19:00 to 21:00 in the Old Harbour Lobby.
Dinner Reception
Tuesday, June 13th, 20:00 to 23:00 at an external location: GOLD Restaurant. Shuttle buses will be provided, more details will follow.
The dress code for both receptions is smart casual. Please note that participants not wearing their event badge will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.

Located on the shore of Table Bay, Cape Town is the oldest urban area in South Africa. It is the second-most populous city in South Africa after Johannesburg.
Cape Town is famous for its harbour, for its natural setting in the Cape Floristic Region, and for such well-known landmarks as Table Mountain and Cape Point.
